1.2. Searching NAJ Holdings

On the Search NAJ Holdings screen, you can search by specifying search keywords and search conditions.

1.2.1. Advanced Search (NAJ Holdings)

In Advanced Search (NAJ Holdings), you can search the holdings by entering search keywords and selecting search conditions.

- Search for Holding / Cross SearchYou can switch between “Search for Holding” and “Cross Search.” For details on Cross Search, see “1.4. Cross Search.”

- KeywordSpecify keywords to search the materials. For instructions on entering keywords, see “1.2.2. Keyword Input Fields” and “1.2.3. How to Enter Keywords.”

- Fonds/SeriesSelect the Fonds or Series to be targeted in the search. For how to select Fonds or Series, see “1.2.5. Layered Search.”

- Description TypeSelect the Description Types to be included in the search. Check the boxes for the Description Types you wish to include. To select all Description Types, click “Select All.” (If none of the checkboxes are selected, the search results will be the same as when all are selected.) For information about Description Type, see “7. Glossary of Terms.”

- Content DetailsSelect the Content Types to be included in the search. Check the boxes for the Content Types you wish to include. To select all content types, click “Select All.” (If none of the checkboxes are selected, the search results will be the same as when all are selected.) For information about Content Type, see “7. Glossary of Terms.”

- Display ResultSelect the number of search results to display per page from the pull-down menu. You can choose from 20, 50, 100, or 200 items. The default setting is 100 items per page.

- Add Search CriteriaClick to add additional search conditions.

- SearchClick to execute the search based on the specified and selected conditions. For search results, refer to “1.3. Search Results (NAJ Holdings).”

- ClearClick to reset all search conditions to their default state.

When you click “Add Search Criteria,” the following search conditions are added:

- Use Restriction ClassificationSelect the Use Restriction Classifications to be included in the search. Check the boxes for the classifications you wish to include. To select all classifications, click “Select All.” (If none of the checkboxes are selected, the search results will be the same as when all are selected.)

- Storage LocationSelect the Storage Locations to be included in the search. Check the boxes for the Storage Locations you wish to include. To select all storage locations, click “Select All.” (If none of the checkboxes are selected, the search results will be the same as when all are selected.)

- Source of Transfer or AcquisitionSpecify the Source of Transfer or Acquisition from the pull-down menu.

- Electronic RecordsTo search only Electronic Records, check “Search Only Electronic Records.”

1.2.2. Keyword Input Fields

- Add a Search AreaClicking this button allows you to add additional keyword input fields, up to a total of six rows.

- Keyword(red frame①)Specify the keywords used to search for materials. For details, see “1.2.3. How to Enter Keywords.”

- search scope(red frame②)Specify the scope of the search target.

All Searches without limiting the item type. If an image has tags (*), they can also be searched.
Title Searches the titles of Fonds/Series, Files, and Items.
Creator/Person Name Searches the “Creator” field for government records and the “Person Name” field for materials of the Cabinet Library.
Note Related Searches the “Note Related” field.
ID

Searches by the ID of the material.

* The ID is the unique identifier assigned to each page of the catalog information for a Fonds/Series, Files, or Items. The number at the end of the URI displayed at the bottom of the catalog detail page corresponds to the ID. For information about URI, see “7. Glossary of Terms.”

- conditions between search scopes(red frame③)You can specify the conditions between search scopes by selecting an option from the pull-down menu. In the initially displayed Search Area, you can choose either No condition or NOT. The method of specifying conditions is described below. For conditions applied within a single Search Area, please refer to “1.2.3. How to Enter Keywords.”

(1) When all entered search scopes must be matched (AND condition)

Example: When you want to search for materials that contain “日本 (Japan)” in All scopes and contain “憲法 (Constitution)” in the Title:

1. Enter the keyword “日本” in the initially displayed Search Area.

2. In an added Search Area, select “AND” as the condition, select “Title” as the search scope, and enter the keyword “憲法.”

(2) When any of the entered search scopes may be matched (OR condition)

Example: When you want to search for materials that contain “日本” in All scopes or contain “憲法” in the Title:

1. Enter the keyword “日本” in the initially displayed Search Area.

2. In an added Search Area, select “OR” as the condition, select “Title” as the search scope, and enter the keyword “憲法.”

(3) When materials containing a specified search scope should be excluded (NOT condition)

Example: When you want to search for materials that contain “日本” in All scopes but exclude those that contain “憲法” in the Title:

1. Enter the keyword “日本” in the initially displayed Search Area.

2. In an added Search Area, select “NOT” as the condition, select “Title” as the search scope, and enter the keyword “憲法.”

1.2.3. How to Enter Keywords

When using multiple keywords, you may enter more than one keyword in the search box. The instructions in this section apply when searching the NAJ’s holdings either from the search box on the Home Page, or when searching by keyword in Advanced Search [Holdings].

(1) When all entered keywords must be included (AND condition)

Example: When you want to search for materials that contain both “日本” and “憲法” :

Space 日本 憲法

日本 + 憲法

(2) When any of the entered keywords may be included (OR condition)

Example: When you want to search for materials that contain either “日本” or “憲法” :

(3) When materials containing a specified keyword should be excluded (NOT condition)

Example: When you want to search for materials that contain “日本” but exclude those that contain “憲法” :

Half-width hyphen (-) separated
(with spaces before and after)
日本 - 憲法

*Note: Search keywords can be entered up to 85 full-width characters (or 256 half-width alphanumeric characters). If the limit is exceeded, a warning message will appear and the search cannot be performed.

This Digital Archive performs normalization processing for certain characters so that keyword searches can be conducted using unified character representations. With this processing, you can search for materials using variant forms of kanji or older character forms. The supported normalization patterns are as follows:

  • (1) Searching using kanji variant forms, old character forms, and modern forms
  • (2) Searching using both full‑width and half‑width numbers and symbols
  • (3) Searching using both full‑width and half‑width alphabetic characters, and both uppercase and lowercase letters
  • (4) Searching using alphabetic characters with diacritical marks (e.g., Á)
  • (5) Searching using both kanji numerals and Arabic numerals
  • (6) Normalization of variations in symbols such as the middle dot (・) and brackets, and automatic splitting of keyword strings into individual words

1.2.4. Suggestion Function

When entering a search keyword on the Advanced Search screen, you can use the Suggestion Function.

The Suggestion Function automatically displays a list of candidate keywords based on the characters you have entered.

When you begin typing a word in the search box, a list of suggested keywords will appear.

If you click a suggested keyword, or select it using the cursor keys, the keyword will be inserted into the search box.

The Suggestion Function is also available in the search box on the Home Page.

1.2.5. Layered Search

In Advanced Search [Holdings], you can narrow down the search by selecting Fonds/Series from the hierarchy displayed on the left side of the screen (red frame).

The hierarchy displays the Fonds/Series in a structured, multi-level list. By default, only the following top-level Fonds are shown: “Administrative Records,” “Official Gazettes,” “Judicial Records,” “Corporate Records,” “Donated/Deposited Records,” and “Cabinet Library.”

As shown below, you can select a Fonds/Series by clicking the checkbox to the left of its name. To clear the selection, click the checkbox again.

Multiple Fonds/Series across different levels in the hierarchy may be selected at the same time.

The selected Fonds/Series will be displayed in the Fonds/Series field in Advanced Search [NAJ Holdings], as shown in the example below.

By clicking the plus (“+”) button to the right of a Fonds/Series, a list of its lower-level Fonds/Series will be displayed, as shown below. To hide the list of lower-level Fonds/Series, click the minus (“−”) button.

If you click the title (link) of a Fonds/Series in the hierarchy, the catalog information of that Fonds/Series will be displayed. For details, see “2.1.1. Fonds/Series Details.”

To hide the Fonds/Series hierarchy, click the left arrow button (“◀”) located between the hierarchy and Advanced Search [Holdings] , as shown below. To show it again, click the right arrow button (“▶”) once more.
